  • visit our Stratford office
  • send us documents for a booking or visa

Booking for other people

If you give us details about family members or others in your group, please make sure they know and are happy for you to do so. Show them this policy if you can.

Your consent, which you can take back at any time

We do not use your information to make automated decisions about you, and we do not sell your details to anyone.

If you choose not to give us information we need for a booking, such as passport details, we may not be able to arrange your trip.

Sensitive information

Some details need extra care under the law. These are called "special category" data. For a Hajj or Umrah trip, this can include:

  • Health information, such as vaccination records, medical conditions or mobility needs
  • Religious belief, which may be clear from the type of trip you book with us

We use this information only where it is needed to arrange your pilgrimage, meet visa rules or keep you safe and comfortable while you travel. Where the law requires it, we will ask for your clear consent first. You can withdraw that consent at any time, but this may mean we cannot provide some parts of your trip.

Only staff who need this information to handle your booking can see it.

Who we share your information with

We cannot arrange your trip without passing some details to the people who provide it. We share only what each one needs.

  • Travel suppliers: airlines, hotels in Makkah and Madinah, transfer and transport companies, and ground agents in Saudi Arabia and other countries on your route
  • Visa and Hajj bodies: the Saudi Ministry of Hajj and Umrah, the Nusuk platform, embassies and approved visa agents
  • Payment and banking partners: our payment provider and bank, to process deposits, instalments and refunds
  • Travel insurers: only if you ask us to refer you
  • Service providers: companies that host our website, run our email and phone systems or store our files
  • Regulators and authorities: the Civil Aviation Authority (for ATOL), HMRC, border and immigration authorities, the police or courts, where the law requires it
  • Professional advisers: our accountants, solicitors and insurers

If our business is ever sold or merged, customer records may pass to the new owner, who must keep following this policy.

Sending information outside the UK

Hajj and Umrah take place in Saudi Arabia, so your details must be sent there. They may also go to other countries where airlines, hotels or tour partners are based, such as Turkey or Jordan for Islamic tours.

Data protection laws in these countries may differ from UK law. Where we can, we use safeguards approved under UK law, such as standard contract terms. In other cases the transfer is needed to carry out your booking, and it would not be possible to deliver your trip without it.

How long we keep your information

We keep your details only for as long as we have a real need for them.

Type of record

How long we keep it

Quote requests that do not become bookings

Up to 12 months

Booking, payment and ATOL records

6 years after your trip, for tax, accounting and legal reasons

Passport and visa document copies

Up to 6 months after you return, unless a claim or legal duty means we need them longer

Health and special request details

Until your trip is complete, unless needed for a claim

Marketing contact details

Until you unsubscribe or withdraw consent

Complaint records

6 years after the complaint is closed

When the time is up, we delete records safely or remove anything that could identify you.

How we keep your information safe

We take sensible steps to protect your details from loss, misuse and access by the wrong people. These include:

  • secure, encrypted connections (HTTPS) on our website
  • password protection and limited staff access to booking systems
  • staff training on handling customer information
  • written agreements with suppliers who handle data for us

Card payments are processed by IMRAN. We do not store your full card number on our own systems.

Please take care with what you send over WhatsApp or email, as no method of sending information over the internet is fully secure. If we ever become aware of a data breach that puts you at risk, we will tell you and the Information Commissioner's Office as the law requires.

Marketing messages

We would like to tell you about new Umrah packages, Ramadan and December offers and Hajj updates, but only if you want to hear from us.

  • We send marketing by email, text or WhatsApp only if you have agreed, or if you are an existing customer and we are telling you about similar services.
  • Every marketing message includes a simple way to stop.
  • You can also opt out at any time by emailing [email protected] or calling 0203 744 1300.

Opting out of marketing does not stop service messages about a booking you have made, such as payment reminders or flight changes.
